Thanks to U3A Network Victoria, your U3A is eligible to have a free AI -powered and mutlilingual chatbot created by Icebreaker Communications to make it easier for members, and potential members, to find the information they need from your website.
Please note, the chatbots are easy to install on U3A sites that use WordPress, however MemberWizard does not support chatbots so unfortunately sites using MemberWizard cannot benefit from this project currently.

Is this really free?
There is no cost for members of U3A Network Victoria to apply for their own multilingual chatbot. Network is generously covering the cost of the chatbots as a member benefit.
Can we make changes to our chatbot?
The process of creating your chatbot includes a round of changes. Then each U3A can make up to four changes to their chatbot within the year at no charge by emailing a request. Any additional changes will involve a charge of $60 plus GST.
Can we make changes to our chatbot ourselves?
Enabling access to your own platform is beyond the scope of the agreement with U3A Network Victoria. However, your U3A can request its own platform at a heavily discounted rate of $15/mo or $150/pa, plus GST. Please email us for further information.
We use MemberWizard, will the chatbot work on our site?
MemberWizard sites currently do not support our chatbots, however it is anticipated this will change in the near future.
Will the chatbot work on our site?
Our chatbots are compatible with most web applications, including Wix, SquareSpace and WordPress, although MemberWizard is not currently supporting our chatbots. U3A’s WordPress template has been modified to make installation even easier for our chatbots.
Where do the notifications go?
One of the questions you’ll be asked on the intake form is to provide an email address for notifications. This is where you’ll receive an email with the full ‘chat’ from each and every interaction with your chatbot. Depending on how many interactions/email you receive, some organisations find it helpful to set up a new mailbox for that purpose others are happy to receive the notifications in their normal admin mailbox.

For sites using the latest U3A WordPress template, installation is as simple as adding the chatbot number to a box. For those using WordPress but not the template, it is also a simple process of adding a line of code to the header.
Installation for WordPress sites using the U3A Template
If your site is using the U3A WordPress Template, ensure you have updated to the latest version.
Step 1: Input chatbot number
In the settings, you will find a box to input your Chatbot’s ID five-digit number.
Add your chatbot number and save your changes.
Step 2: Check If the Chatbot Is Working
Now, visit your website and refresh the page. You should see a chatbot pop up in the bottom corner. If you don’t see it:
- Clear your cache (you can do this in your WordPress settings or browser).
- Try a different browser to check if it’s working.
That’s It!

Installation for WordPress sites NOT using the U3A Template
Adding a Chatbot to Your WordPress Website
It only requires adding a line of code to your website to install the chatbot. Don’t worry, you don’t need to be a computer expert. Just follow these steps.
Step 1: Copy the Chatbot Code
Each chatbot has its own little piece of code. It looks like this, with each bot having it’s own id number:

Highlight the code, then right-click and choose “Copy”.
Step 2: Log into Your WordPress Website
Step 3: Two choices
There are a couple of ways to add this chatbot code to WordPress.
Option 1: Using a Plugin (Recommended for Beginners)
If you don’t want to mess with your website’s code, you can use a plugin like the free “WPCode plugin”:
- In your WordPress dashboard, go to Plugins → Add New.
- In the search bar, type “WPCode” and install it.
- Once installed, click Activate.
- Now, go to Settings → Insert Headers and Footers.
- In the Footer section, paste your chatbot code.
- Click Save Changes.
🎉 Your chatbot is now added to your site!
Option 2: Adding Directly to Your Theme (For More Confident Users)
If you’re comfortable editing your site’s theme, follow these steps:
- In your WordPress dashboard, go to Appearance → Theme File Editor.
- On the right side, find footer.php and click on it.
- Scroll down to the very bottom of the code.
- Right before </body>, paste your chatbot code.
- Click Update File.
⚠️ Be careful when editing theme files. If you’re unsure, use Option 1 instead.
Step 4: Check If the Chatbot Is Working
Now, visit your website and refresh the page. You should see a chatbot pop up in the bottom corner. If you don’t see it:
- Clear your cache (you can do this in your WordPress settings or browser).
- Try a different browser to check if it’s working.

Can we test the chatbot before it is approved?
Yes, after we have created the chatbot, we provide you with a link to a demo site where you simply put in your organisation’s website address and the number of your functioning chatbot so you can trial it. Please note, the call to action (the message that pops up next to the chatbot icon) does not appear on the demo site, however, it will appear when deployed on your site.

Can we choose our icon for the ChatBot?
When submitting your chatbot intake form above, you can also upload the logo in either JPG or PNG format with dimensions of 500 x 500 pixels.
